Hayward Conference Zoom Room Instructions

Use these instructions to utilize the Hayward conference room display in Zoom meetings

To complete these processes, you will need:
  • The Hayward Conference Room TV remote
  • The Hayward Conference Room Zoom Room Controller – this iPad is kept on the shelf under the television.
  • The Hayward Conference Room contact in Outlook – I sent this to all Zoom users to add to their contacts. If you’re missing this please let me know.
To Start a Meeting:
  1. Using the television remote, switch the input to HDMI 3/ARC.



  2. On the Zoom Room Controller, select New Meeting



  3. To invite other ACE users to the meeting, tap Invite, select the users you need, and tap Invite.



  4. To invite external users, tap Invite, tap Email, tap the Email field under “To:”, enter the email address of the person you’d like to invite and tap Send.


To add the Hayward display to a scheduled Zoom meeting and join the meeting:

  1. Create the scheduled Zoom meeting normally, then open it in Outlook, select Scheduling Assistant, then under Resource, select Add Resource.



  2. Select Hayward Conference Room, then select Send.



  3. When you’re ready to start your meeting, switch the TV input to HDMI 3/ARC as per the “To Start a Meeting” instructions above, then on the Zoom Room Controller, locate the scheduled meeting and select Start.
